What is a school ERP, and what does it do in a normal school day
A school ERP puts admissions, attendance, fees, exams, transport and payroll in one system. Here is what that looks like across one ordinary school day.
On this page
A school ERP is one piece of software that runs the working side of a school: admissions, student records, attendance, fees, exams and report cards, transport, staff attendance and payroll, and messages to parents. Instead of a separate register, spreadsheet or app for each job, everything sits in one database. Each person sees the part they need, through their own login or the mobile app.
ERP stands for enterprise resource planning, a term borrowed from business software. In a school it simply means this: when the office enters a student once, the same record is used by the class teacher, the fee counter, the transport desk and the exam cell. Nobody types the name again, and nobody works from an old copy.
Definitions only go so far, so here is what that looks like across one ordinary day at Green Valley Public School, a fictional CBSE school with 1,284 students on three campuses.
A normal school day, with a school ERP
7:00 am: the buses leave
The transport manager opens the fleet map. Every bus with a GPS device shows its current location, updated every 5 seconds. As children board, the attendant marks bus attendance in the staff app. Parents follow the bus in the school’s mobile app, so the morning calls to the office asking whether the bus has left become rare.
8:15 am: attendance
Class teachers mark attendance in the teacher app. They tap only the absentees and late-comers; everyone else is marked present and the percentages calculate themselves. Parents of absent children are alerted the same morning. Schools that prefer biometric or RFID attendance can connect those devices instead.
9:30 am: the front office
A father arrives to take his daughter home early for a doctor’s appointment. The gate pass is verified with an OTP sent to the parent, and the exit is recorded. Two visitors are entered in the visitor log, and a new parent’s admission enquiry goes into the enquiry list with a follow-up date, so it doesn’t get lost in a notebook.
11:00 am: the fee counter
The accountant collects a term fee at the counter while other parents pay from the app by UPI, card or net banking. Both payments land in the same ledger. The fee dashboard shows what has been collected, what is overdue and what falls due next. Parents with pending dues get a reminder with the exact amount and a payment link.
1:30 pm: a substitution and a circular
A teacher has called in sick. The timetable shows which teachers of the same subject are free in each period, and the principal assigns substitutes in a few clicks. Meanwhile, the office sends a sports day circular to Classes 6 to 8 only, by app notification and WhatsApp, in English and Hindi. The delivery report shows who received it.
3:30 pm: marks and homework
Teachers enter unit test marks in their own login and post tomorrow’s homework using a ready subject format. At the end of term, those marks turn into report cards with grades, ranks and attendance already filled in.
5:00 pm: the principal’s view
Before leaving, the principal checks one dashboard: student and staff attendance, fee collection, admission enquiries, today’s visitors and open complaints. Nobody had to compile it.
What a school ERP usually covers
| Area | What it handles |
|---|---|
| Student management | Student profiles, attendance, certificates and TC, year-end promotion |
| Communication | Announcements by app, WhatsApp, SMS, email and voice call; homework; complaints |
| Finance | Fee structures, counter and online collection, reminders, expenses, Tally integration |
| Academics and exams | Timetable and substitution, lesson plans, marks entry, report cards, result analysis |
| Admissions and front office | Enquiries, online admission form, visitors, gate passes |
| Transport | GPS tracking, routes and stops, bus attendance |
| HR and payroll | Staff attendance, leave, payroll with PF, ESI and TDS |
| Add-on modules | Hostel, cafeteria, infirmary, ID cards, custom reports |
Schoolcanvas groups its 50+ modules into these eight suites, and you can see each one in our overview of ERP for schools. Most schools don’t switch everything on at once. Fees, attendance and parent communication are the usual starting point, because they take up the most office time every week.
What changes for each person
- Office staff stop copying the same details into different registers. Certificates, receipts and reports come from data that is already there; Schoolcanvas has 500+ ready reports, and a report builder for anything else.
- Teachers mark only absentees, enter marks once and post homework from their phone. The student management suite keeps each child’s attendance, marks and certificates on one profile.
- Parents see attendance, homework, circulars, fees, the bus and report cards in one app, and can write to the class teacher without either side seeing the other’s phone number.
- The principal and management get live figures from every department. Groups with several campuses can see all of them from one login.
Questions to ask before you choose one
- Who owns the data? It should be the school. With Schoolcanvas, the data belongs to the school.
- Where is it stored? Ask for the hosting details. Schoolcanvas runs on a private cloud in a tier-IV data centre in India, with four backup copies.
- How do we move our existing data? Moving from Excel or another ERP should not become a project of its own. Schoolcanvas migrates your data free.
- How long until we are live? We go live in 7 days when the school’s data is ready.
- What happens when something goes wrong? Check support hours and response times. Schoolcanvas support responds within 5 minutes, Monday to Friday 9 am to 6 pm and Saturday 9 am to 4 pm.
- Does it work with what we already use? For example Tally, biometric devices, payment gateways, UDISE+ and APAAR.
- How does it handle student privacy? The DPDP Act raises the bar for children’s data. Our guide to the DPDP Act for schools lists what to ask.
Does a smaller school need one?
Smaller schools face the same daily jobs as large ones: fees to collect, absences to follow up, parents to inform, report cards to print. They just have fewer people to do them, so one person often covers the office, the fee counter and the phone. That is exactly where re-entering data and answering the same questions again and again hurts most. Because school ERP software like Schoolcanvas is cloud based, there is no server to buy or maintain, and you can start with the few modules you need and add the rest later.
If you already use a few separate apps, one for fees, one for messages, a spreadsheet for marks, the change is less about new features and more about having one record of each child that everyone trusts.
Schoolcanvas has been building school software since 2009 and is used by 1000+ schools today. If you would like to see a day like Green Valley’s with your own classes and fee heads, a free demo takes about 45 minutes, and you can follow it with a 1-month free trial.
Common questions.
What is a school ERP in simple words?
It is one system that runs a school’s daily work, such as admissions, attendance, fees, exams, transport and payroll, from a single database. Staff, teachers and parents each see the part they need through a login or the mobile app.
What is the difference between a school ERP and an LMS?
A school ERP runs administration: records, fees, attendance, exams and the office. An LMS supports teaching and learning: lessons, worksheets, tests and revision. Schoolcanvas ERP works with Assist, our AI-powered LMS, and marks from Assist flow into report cards. Assist can also be used on its own.
How long does it take to start using a school ERP?
With Schoolcanvas, we go live in 7 days when the school’s data is ready. Migrating your existing data from Excel or another ERP is free, and staff training is available at your school or remotely.
Can parents use the school ERP on their phones?
Yes. Parents use the school’s mobile app on Android or iOS to see attendance, homework, circulars, fees, the bus location and report cards, and to pay fees online.
Is student data safe in a school ERP?
Ask any vendor where data is stored, who can see it and who owns it. In Schoolcanvas, data is hosted in a tier-IV data centre in India with four backup copies, each user sees only what their role allows, and the data belongs to the school.
