What each suite does in a normal week

Student Management

This is the base record for every child: personal details, siblings, documents, attendance, activity, discipline and health. Teachers mark attendance in the teacher app by tapping only the absentees and late-comers. Monthly and yearly percentages calculate themselves, and parents get an alert when their child is absent. Certificates, including the transfer certificate, are fully customisable, and the bulk promotion tool moves whole classes up at the end of the session in one go.

Communication

Announcements go out by app notification, WhatsApp, SMS, email and voice call (IVRS), in English, Hindi and your regional language. The office can pick one class or section and add personalised fields such as the student’s name. Delivery reports show who received each message, with multi-retry for 100% delivery. Teacher and parent phone numbers stay hidden from each other. Complaints get an ID and a resolution time, and the principal is alerted when one is overdue.

Finance

The fee module is the most widely used part of Schoolcanvas. Fee structures handle components such as tuition, admission, books and labs, along with concessions, sibling discounts, scholarships, instalments and late fines. Fees under more than one trust can be collected in one click. Parents pay at the counter, a kiosk, a POS machine or in the parent app, by UPI, card or net banking through gateways such as Razorpay, Cashfree, CCAvenue and BillDesk, and the money settles straight into the school’s account. Exact fee-due reminders go out with a payment link. Expenses, budgets, assets and purchases run through approval workflows, and the accounts connect end to end with Tally. Academics & Examination

Teachers enter marks once in their own login, and the class register, term reports and performance analysis build themselves. Report cards follow the school’s own format, including the Holistic Progress Card (HPC) that many schools use in junior grades. Result analysis with subject-wise graphs helps the academic head spot students who need support. The same suite holds lesson plans matched to the exam schedule, the timetable with substitution, homework, the question bank, online exams, admit cards and the library. Admissions & Front Office

Enquiries from every branch land in one list, with follow-ups by notification, SMS and WhatsApp. Parents can apply online from start to finish, upload documents and pay the registration fee, and the school issues tokens and schedules interviews. When a seat is confirmed, the enquiry becomes a student record without retyping. The front office side covers appointments, the visitor log, student and staff gate passes with OTP verification, and the courier register.

Transport

The transport office sees the whole fleet on a map, with live locations updated every 5 seconds, route replay, start, stop and halt times, distance travelled, a fuel calculator, and speed monitoring with high-speed reports. Parents track the bus in the Schoolcanvas app. Drivers, conductors or attendants mark bus attendance in their own app, and transport fees are linked to routes and pickup points.

HR & Payroll

Staff attendance comes from biometric devices (a wide range, particularly eSSL and BioMax) and feeds leave and payroll. Payroll covers salary slabs, allowances, deductions, loans and statutory items such as PF, ESI and TDS. The HR admin approves payroll before it is processed, and staff see their payslips in the app once the school publishes them. Recruitment and appraisal sit in the same suite.

Add-on Modules

These are the modules not every school needs: hostel room and bed allocation, cafeteria sales linked to fees, infirmary visits with updates to parents, ID cards printed from existing data, and dynamic forms you can build without a developer. Groups with several campuses use multi-school management to run every school from one login, with group-level reports.

Reports, apps and the pieces that tie it together

Across the suites there are 500+ ready reports, plus a custom report builder and a dashboard builder for anything the standard list does not cover.   3. Communication. Circulars, homework and absence alerts move to the app, and parents start opening it every day.
  4. Exams and report cards. Set these up before the first term exam so teachers enter marks only once.
  5. Transport, admissions, HR and payroll, add-ons. Add them as each team is ready.
