Why it matters

Parents shouldn't have to chase the school for news.

Most schools already send plenty of messages. The trouble is that they go out on five different tools, from personal phones, in one language, with no record of who got them. These are the problems principals tell us about most.

Outbox: the old waySix messages that never really landed
  1. Circulars that never reach home

A paper circular depends on a child remembering to hand it over. Half of them come back crumpled at the end of term, and the parent who missed the fee date says, fairly, that nobody told them.

    Not delivered
  2. Teachers' numbers in parent groups

Class WhatsApp groups run on teachers' personal phones. Parents message at 10 pm, numbers are shared outside the group, and when the teacher leaves, the school's conversation history leaves with them.

    Number shared
  3. Urgent news that arrives too late

Heavy rain at 5 am, a bus breakdown, an early dismissal. A phone tree or a forwarded message reaches some parents in minutes and others after their child is already at the bus stop.

    Too late
  4. Messages parents can't read

An English SMS doesn't help a grandparent who reads only Tamil, or a parent with a basic phone and no data. They are often the families who most need to hear from the school.

    Can't be read
  5. No proof that anyone got it

When a parent says "we never got the message", the office has no way to check. There is no delivery record, no retry, and no list of who still needs a call.

    No record
  6. Complaints that depend on memory

A concern raised at the front desk lives in someone's notebook. Nobody owns it, nobody knows when it is due, and the principal hears about it only when the parent calls again, angrier.

    Forgotten
One message, every channel

From a 6:30 am rain call to an evening PTM, every message lands.

Scroll through one family's thread with Green Valley Public School, a fictional 1,284-student school, over an ordinary week. Each message is written once and goes out by app, WhatsApp, SMS, email or voice call, in the language the family reads. Contacts come straight from your student and staff records, so nobody keeps a separate phone list.

6:30 amUrgent news · voice calls (IVRS)

It rained all night. Every parent knows before the buses leave.

At 6:15 the principal decides to close for the day. The office records a 30-second voice message and sends one announcement to the whole school: a voice call to every parent, plus WhatsApp, SMS and an app notification in English, Hindi and Tamil. The report shows who answered, and unanswered calls are retried automatically. Nobody runs a phone tree from home.

  • Voice calls reach families without a smartphone or who prefer to listen

Class teachers mark only absentees in the teacher app. Parents of absent children get an alert straight away, on the app, WhatsApp or SMS, in the language they read. The child's name and class are filled in automatically, so one message written once reaches every family as a message about their own child.

  • Alerts come from the attendance record itself

A parent raises a concern. It gets an ID, an owner and a deadline.

Mrs. Sharma reports in the app that the bus skipped her stop. She immediately gets a complaint ID and the time it should be resolved by. The complaint goes to the transport in-charge, not to the principal's desk. If it isn't closed in time, the principal is alerted. This one is resolved by 4:40 pm, and she is told what was done.

Behind every message

One school communication app. See exactly where each message landed.

The office writes one message, picks who gets it and how, and watches the delivery report fill in. Each child's details are filled in automatically, and anything that doesn't go through the first time is retried.

Personal messages, sent to everyone

Insert each student's name, class or fee amount automatically. Two thousand parents each get a message about their own child, written once.

Delivery reports with automatic retries

See, for every message, who received it on which channel. Messages that don't go through the first time are retried automatically, and the office can see who still hasn't been reached.

Any audience, from the whole school to one group

Choose the whole school, a class or a single section. With the Group Message add-on, message a department or any custom group you define, by SMS, notification or app, with a delivery report.

Feedback & complaints

Every concern tracked to closure, on one board.

A parent raises a concern at the front office or in the app. They get a complaint ID and the expected resolution time by SMS or notification, the complaint goes to the staff member responsible, and if it isn't resolved in time the principal or management is alerted. Set priorities, so urgent concerns come first.

For everyone in your school

Clear communication helps everyone do their job.

Owners worry about reputation, principals about reach, the office about phone calls, teachers about privacy and parents about missing something. Each of them gets what they need.

Protect your school's reputation.

Parents judge a school by how it communicates, especially when something goes wrong. You see every complaint, who owns it and how quickly it was resolved, and the school speaks to families in one consistent, warm voice.

Getting started

Set up school communication in four simple steps.

There is no separate contact list to build or maintain. Communication works from the same records your office already keeps, so a new admission can receive messages the day they join.

  1. Step 1: Your contacts, ready

Parent and staff numbers and emails come straight from your student and staff records, and stay up to date as those records change.

  2. Step 2: Write once

Type your message or start from a template, in English, Hindi or your regional language. Add the student’s name, class or amount automatically.

  3. Step 3: Pick who and how

Choose the whole school, a class, a section or a group, then the channels: app, WhatsApp, SMS, email, voice call, or several together.

  4. Step 4: See it land

Delivery reports show who received it on which channel, with automatic retries for the rest. Replies and complaints come back to the right person.

Moving from another app or a bulk SMS tool?Your student, parent and staff data comes across free, and you can be live in 7 days when your data is ready. We set up the WhatsApp, SMS and voice-call integrations with you.

Questions

Questions schools ask about communication.

Channels & reach
Which channels can we use?

Schoolcanvas sends messages by mobile app notification, WhatsApp, SMS, email and voice call (IVRS). You can use one channel or several for the same message, and choose different channels for different kinds of news.

How do SMS, WhatsApp and voice calls work?

Schoolcanvas is integrated with trusted SMS, WhatsApp and voice-call (IVRS) service providers, so you send everything from one screen. We set up these integrations with you during onboarding and explain the options in your demo.

Can we reach parents who don't have a smartphone?

Yes. Voice calls work on any phone and suit parents who prefer to listen rather than read. SMS reaches basic phones too, so no family depends on the app alone.

Can we message just one class, section or group?

Yes. Choose the whole school, a class or a single section for any announcement. With the Group Message add-on you can also message a department or any custom group you create, with a delivery report for each message.

Can schools send circulars to parents on WhatsApp?

Yes. A circular can go to the whole school, one class or one section on WhatsApp, together with the app, SMS, email or a voice call if you choose, in English, Hindi or your regional language. WhatsApp, SMS and voice calls run through service providers integrated with Schoolcanvas, and every message goes out in the school's name.

Is there a school app for parents and teachers?

Yes. Parents use the Schoolcanvas app on Android or iOS for announcements, the notice board, homework, attendance, marks, the timetable, fee details and payment, and the bus location. Every staff member has the Schoolcanvas mobile app too, so teachers send homework and class messages without sharing their personal number.

Do parents see homework in the app?

Yes. Teachers post homework from the teacher app using pre-filled subject formats, and parents see it in the app each day.

Languages & delivery
Can we send messages in Hindi or our regional language?

Yes. Messages can be sent in English, Hindi and regional languages, including on WhatsApp, so each family reads the school's news in the language they are most comfortable with.

Can we see whether parents received a message?

Yes. Every message has an instant delivery report showing who received it, and Schoolcanvas automatically retries messages that don't go through the first time.

Can a message include each child's name or fee amount?

Yes. Personalised messages insert details such as the student's name, class or amount due automatically, so one message written by the office reaches every parent as a message about their own child.

Will parents see the message as coming from the school?

Yes. WhatsApp, SMS and email messages go out in the school's name so parents know the message is genuine.

Privacy & complaints
Do teachers have to share their personal phone numbers?

No. Messages come from the school's name, and in the app parents see only the teacher's name, never their number. Teachers can't see parents' personal numbers either, so everyone's privacy is protected.

How are parent complaints handled?

A parent raises a concern in the app or at the front office. They receive a complaint ID and the expected resolution time by SMS or notification, and the complaint is routed to the staff member responsible. You can set priorities so urgent concerns come first.

What happens if a complaint isn't resolved in time?

The principal or management is alerted automatically when a complaint passes its resolution time, so nothing is quietly forgotten and the principal doesn't have to step into every case.

Is our parents' contact data safe?

Yes. Data is hosted in a tier-IV data centre in India, with role-based access so each person sees only what they need. The data belongs to your school, and Schoolcanvas is DPDP-ready.

Staff, events & set-up
Is there a staff-only channel?

Yes. Internal chat and staff announcements keep school work separate from parents and off personal WhatsApp groups, and task management lets you assign and follow up work with dates, attachments and recurring schedules.

Can we hold parent-teacher meetings online?

Yes. The Online PTM module lets parents meet teachers online when they can't come to school, and events such as PTMs, annual day and sports day can be planned and announced from Event Management.

Do birthday wishes and greetings go out automatically?

Yes. Birthday wishes and festival e-greetings can be sent automatically to students, parents and staff, so the school stays in touch on the days that matter to families.

How long does it take to start?

Usually 7 days. If your data is ready, we guarantee you'll be live in 7 days. Parent and staff contacts come across with your student and staff records, migration is free, and we train your office and teachers online or at your school.
