Talk to a parent of a Class 4 child and you will hear about the evening routine: checking the school diary, scrolling through two or three class WhatsApp groups to find today’s homework, and discovering a crumpled circular at the bottom of the school bag a day after the deadline. Somewhere in between, they are also trying to remember whether the term fee has been paid.

A school app for parents should replace that scramble with one place to look. Not more messages, but the right information, from the school, at the right time. Here is what parents actually check every day, and what schools can do to make sure the app is used.

What parents check every day

From the questions parents ask school offices, a few things come up again and again. In the Schoolcanvas parent app, each has its own place:

What parents want to knowWhere they find it in the app
Did my child reach school?Attendance, with an alert when the child is marked absent
What is the homework?Homework and class work, posted by each subject teacher
Is there anything I need to know?Announcements, the notice board and the annual calendar
Where is the bus?Bus location, updated every 5 seconds
How much do I owe, and can I pay now?Fee details with online payment
How is my child doing?Marks, report cards and, in Assist schools, worksheets and assessments
What is the timetable this week?Time table
My child is unwell and will miss school.Apply Leave
I need to tell the teacher something.A message to the class teacher, or feedback to the school

A few less frequent moments matter just as much. When a child visits the school infirmary, the update reaches the parent in the app. When a child leaves early, the gate pass is verified by an OTP sent to the parent. When a parent raises a complaint, they get a complaint ID and the expected resolution time.

Privacy: numbers stay private

Class WhatsApp groups have one big drawback: every parent can see every other parent’s number, and teachers’ personal numbers end up shared widely. In Schoolcanvas, teacher and parent phone numbers are hidden from each other. Messages sent by WhatsApp, SMS or email come from the school’s name, and the app shows only the teacher’s name. Teachers get their evenings back, and parents still have a proper way to reach them.

In the parent’s own language

Many parents are more comfortable reading in Hindi or their regional language than in English. Schoolcanvas sends messages in English, Hindi and your regional language, so a circular about exam dates is understood the first time by every family, not just those who read English easily.

For parents who don’t open apps

Not every parent will install an app, and some prefer WhatsApp or a phone call. A good system reaches them anyway. Announcements in Schoolcanvas go out by app notification, WhatsApp, SMS, email and IVRS voice calls, targeted to a class or section and personalised with each child’s details. Multi-retry for 100% delivery and instant delivery reports show the office who has received a message, so an important notice doesn’t rely on hope. The Schoolcanvas school communication app covers the channels in more detail.

Your school’s name on the app

Parents trust what comes from their child’s school. Many Schoolcanvas schools have a school-branded app in their own name on Google Play. Across schools, Schoolcanvas apps have 1 million+ downloads, and 1.5 million+ parents stay connected with their school.

How to get parents to actually use it

The app is only as useful as the habits around it. Schools that get the best response usually do a few simple things:

  1. Launch it in person. Show parents the app at orientation or the first PTM, and help them log in there and then.
  2. Make it the official channel. If circulars, homework and fee reminders all come through the app, parents learn to look there first.
  3. Keep messages useful. Too many messages train parents to ignore them. Send to the classes concerned, not the whole school.
  4. Answer what comes in. When a parent writes to the class teacher or raises a complaint, a timely reply builds trust in the app.
  5. Use it for the good news too. Event photos, results and birthday wishes remind parents that the app is about their child, not just dues.

The staff side makes the parent side work

Everything a parent sees has to be entered by someone at school, so the staff app matters as much as the parent app. Every staff member has the Schoolcanvas mobile app: teachers mark attendance and post homework from their phone using pre-filled subject formats, attendants mark bus attendance, and the office sends announcements. Because it all sits on one system, the attendance a teacher marks at 8:15 am is the same attendance the parent sees, and the same figure that appears on the report card at the end of term. The student record behind it is part of the student management suite.

A checklist for choosing a parent app

  • Does it cover attendance, homework, circulars, fees, the bus and report cards in one place?
  • Are teacher and parent phone numbers kept private?
  • Can messages go in Hindi and your regional language?
  • Does it reach parents who don’t use the app, by WhatsApp, SMS or voice call?
  • Can the office see delivery reports?
  • Is it connected to the school’s own records, or is it one more system to update?
  • Where is the data stored, and who owns it? Our post on the DPDP Act for schools explains why this matters.
