Sound familiar?

Where school finance usually goes wrong.

Most fee offices run on a mix of receipt books, an Excel sheet, a bank statement and Tally, held together by one experienced accountant. It works, until fee week, audit season or the day that accountant is on leave.

Six entries every fee office knows by heart
  1. 01

A queue out of the gate on due date

Parents take half a day off to stand in line, the counter handles lakhs in cash under pressure, and a wrong head or a missed concession only shows up weeks later.

    Due date
  2. 02

Reminders, one phone call at a time

Someone prints the defaulter list and rings parents one by one. Half of them ask how much is due exactly, and the other half say they never got the circular.

    Every term
  3. 03

Fee rules that live in one person’s head

Sibling discount for the second child, a staff-ward concession, a merit scholarship, a late fine after the 10th, a mid-term change of bus stop. Every exception is worked out by hand.

    Every exception
  4. 04

    Reconciliation that takes days

UPI, card, cheque and cash arrive through different channels. Matching them to the bank statement, then typing every receipt into Tally again, eats the first week of every month.

    Every month-end
  5. 05

Money spent before anyone approves it

Purchase vouchers sit in a file, petty cash lives in a notebook, and trustees hear about a large spend after the cheque has cleared. The budget overshoot is discovered in March.

    All year
  6. 06

Audit season is a fire drill

Invoices are hunted down from drawers and inboxes, the asset register is two years out of date, depreciation sits in a spreadsheet, and nobody is sure which lab the projectors went to.

    Audit season
Follow one rupee

One fee payment, from demand to the books.

Aarav Kumar is in Class VI-B at Green Valley Public School, one of its 1,284 students. His Term 2 fee is ₹18,500, due on 10 October. Follow that one payment through Schoolcanvas: seven stops, and nobody in the fee office types it twice.

Rules set once decide the amount.

Tuition, transport, sibling discounts, concessions, scholarships, instalments and late fines are set once for each class. Aarav’s Term 2 demand comes from those rules, so nobody works it out with a calculator.

For parents

Make paying fees the easiest thing parents do all term.

Parents want three things from the fee office: the right amount, an easy way to pay, and proof that they have paid. Schoolcanvas gives them all three on the phone they already use: the parent app doubles as the school fee payment app.

45+ ways to pay

Online fee payment by UPI, debit and credit cards and net banking through Razorpay, Cashfree, CCAvenue and BillDesk, on personalised payment screens built for mobile.

Paid straight to the school

Online payments settle directly into the school’s own bank account, so parents know exactly where their money goes.

Reminders they understand

The exact amount, head by head, on the app, WhatsApp or SMS, in English, Hindi or your regional language.

A receipt, every time

An instant receipt for every payment, with the full fee history in the parent login for the day it is needed.

Cash and cheque still welcome

Online adds to the counter, it does not replace it. Parents who prefer to pay in person still can.

One bill for everything

Tuition, transport, hostel and activities in one view, so parents are not juggling separate demands.

For everyone who touches money

One finance system, five very different jobs.

The trustee wants control, the accountant wants books that agree, the counter wants a short queue and parents want it to be easy. Schoolcanvas gives each of them their own view of the same numbers.

See your school’s finances, live.

You carry the financial responsibility, often for more than one campus or trust. Daily collection, overdue fees, budgets against actual spending and the approvals waiting for you are on your phone, with the limits you set.

Switching is easy

Your fee office live in 7 days, not next term.

Changing fee software mid-session sounds risky. It does not have to be. When your data is ready, we guarantee you go live in 7 days, and some schools have done it in 2. Moving your data costs nothing.

Day 1

We map your fee structure

Fee heads, classes, instalments, concessions, sibling and scholarship rules, late fines, trusts and collection centres, set up with your account manager.

Day 2

We move your data, free

Students, parents, fee history and pending dues come across from Excel or your old software, and are checked with your accountant.

Day 3

Your team is trained

Hands-on sessions for counter staff, accountants and management, online or at your school, covering collection, day close, reports and approvals.

Day 4

Parents start paying

Payment links go out, the counter runs on Schoolcanvas, and support is 5 minutes away during support hours, Monday to Saturday.

Moving from another ERP, Excel or a receipt register?

We migrate your student and fee records at no cost, with ongoing migration support, so you do not lose a term of history.

Questions

Questions schools ask about fees and finance.

Paying fees
Which payment methods can parents use?

Parents can pay by UPI, debit or credit card and net banking through gateways including Razorpay, Cashfree, CCAvenue and BillDesk, 45+ options in all. They pay from the parent app or straight from the link in a fee reminder, on payment screens designed for mobile.

Does the money go straight to the school’s bank account?

Yes. Online payments made through the payment gateway are settled directly into the school’s own bank account. Schoolcanvas records the payment against the student’s fee heads and issues the receipt.

Can we still collect cash and cheques at the counter?

Yes. Online payment adds to your counter, it does not replace it. Cash, cheque, card on a POS machine, the self-service kiosk and online payments all go into the same fee record, so there is nothing to merge by hand at the end of the day.

Do fee reminders include a payment link?

Yes. Each parent receives the exact fee due, head by head, with a link to pay in a few taps, on the app, WhatsApp or SMS, in English, Hindi or your regional language. You can remind everyone, or only those who have not paid.

How does online fee payment for schools work?

Parents open the payment link in a fee reminder, or the parent app, and see the exact amount due, head by head. They pay by UPI, card or net banking through the school's gateway, such as Razorpay, Cashfree, CCAvenue or BillDesk. The money settles straight into the school's own bank account, the receipt reaches the parent app at once, and the payment is recorded against the student's fee heads.

What is a good fees reminder message to parents?

Keep it short and exact: the child's name and class, the amount due, the due date and a link to pay. For example: "Dear Parent, Term 2 fees of ₹[amount] for [student name] ([class]) are due on [date]. You can pay online here: [payment link]. [School name]". In Schoolcanvas the wording is yours to set, the name, class, amount and link are filled in for each parent, and the message goes out by app, WhatsApp or SMS in English, Hindi or your regional language. Follow-ups can go only to parents who have not paid.

Fee structures & collection
What does school fee management software do?

It sets each class's fee structure once, then raises every bill, reminder and receipt from it. In Schoolcanvas that covers concessions, sibling discounts, scholarships, late fines and instalments, collection online and at the counter, kiosk or POS, a live view of collected, overdue and upcoming fees, and accounts that stay in step with Tally.

Can Schoolcanvas handle our fee structure?

Almost certainly. Concessions, sibling discounts, scholarships, late fines, instalments, class-wise fees and route-wise transport fees are all supported. The fee module is the most widely used part of Schoolcanvas, built from years of working with schools, and we set your structure up with you during onboarding.

Are transport fees linked to bus routes?

Yes. Bus routes and pickup points are set up once in Transport, and each student’s transport fee follows the route and stop they are assigned to. When a child changes stop, the school updates the transport fee.

We collect fees for more than one trust. Is that a problem?

No. Fees under multiple trusts or organisations can be collected in one payment, with each organisation’s share accounted for. Collection centres at different campuses are managed from one control panel, with live totals for each.

What does management see?

A dashboard of collected, overdue and upcoming fees, by class, campus and fee head, available on the web and on the phone. Daily collection, defaulter, concession and mode-wise reports are ready to run, among 500+ reports across Schoolcanvas.

Accounts, expenses & audit
Does Schoolcanvas work with Tally?

Yes. Schoolcanvas has complete, end-to-end Tally integration, including export. Fees and expenses reach your Tally books without being entered again, and Schoolcanvas also keeps its own ledgers, balance sheet and profit and loss.

How do expense approvals work?

You set multi-level approval rules with limits for each role. Small amounts, such as petty cash, can be approved automatically within a range you choose, while larger amounts go to the principal, correspondent or trustee. Management is alerted by e-mail and pop-up, every stage is visible, and approvals that wait too long are escalated.

Can we track budgets against actual spending?

Yes. Record your sources of funds, allot a budget to each head and see how much has been used. You can compare this year’s spending with the same period last year, and spread a budget across months or book it as a one-time spend.

How are assets and depreciation handled?

Assets are bought through central purchasing with approvals, allocated to departments and labelled with a barcode carrying a unique ID. Issue, return and maintenance are recorded, depreciation is calculated automatically for audit, and everything is linked to your accounts. Vendor invoices are kept in a digital folder.

Getting started & security
How long does it take to move our fee office to Schoolcanvas?

If your data is ready, we guarantee you will be live in 7 days, and some schools have gone live in 2. We migrate your student and fee data from Excel or your previous software free of charge, and train your counter staff and accountants online or at your school.

Is our financial data secure, and who owns it?

Your data belongs to the school. Schoolcanvas runs on a private cloud in an Indian tier-IV data centre with cloud mirroring and four-copy backup, and access is controlled by roles and permissions, so each person sees only what their job needs.

Can we try it before we decide?

Yes. Start with a 45-minute demo set up around your fee structure, then take a 1-month free trial. Support responds within 5 minutes during support hours: Monday to Friday 9 am to 6 pm, and Saturday 9 am to 4 pm.
