Most parents who pay late are not avoiding the fee. They forgot the date, lost the circular, or were waiting for salary day. A clear, polite reminder with the exact amount and an easy way to pay solves most of these cases without a single phone call from the office. Below are seven templates you can adapt, followed by tips on tone and timing.

What every fee reminder should include

  • The student’s name and class, so parents with more than one child know which fee it is.
  • The exact amount and what it covers, for example Term 2 tuition and transport.
  • The due date, written in full.
  • A payment link or clear payment options.
  • A line for parents who have already paid, so they are not annoyed.
  • The school’s name at the end, and a contact for questions.

Words in square brackets are fields that fill in for each family, such as [Student name] or [Amount].

Seven templates you can use

The same reminder in Hindi

Parents read a message more carefully in the language they are most comfortable with. Here is template 1 in Hindi:

प्रिय अभिभावक, [छात्र का नाम], कक्षा [कक्षा], की [टर्म] फीस ₹[राशि] की अंतिम तिथि [तारीख] है। आप इस लिंक से UPI, कार्ड या नेट बैंकिंग द्वारा भुगतान कर सकते हैं: [लिंक]। धन्यवाद। [स्कूल का नाम]

Tone: firm about the date, kind about the person

  • Start with “Dear Parent”, not “Attention” or “Final warning”.
  • Use “gentle reminder” early and plain facts later. Even an overdue notice should read as information, not blame.
  • Never mention a child’s dues in a class group or in front of other students. Fee messages go privately to each family.
  • Offer a person to talk to in the later reminders. A parent going through a hard month is more likely to call than to pay in silence, and that call often ends in an instalment plan.
  • Avoid capital letters and exclamation marks. They read as shouting on a phone screen.

Send reminders in the morning or early evening, never late at night. Stop as soon as a family pays; nothing irritates a parent more than a reminder for a fee they cleared yesterday. For a fuller comparison of channels, see choosing the right channel for school messages.

A scenario: Term 2 at Green Valley Public School

Green Valley’s Term 2 fee is due on 10 October. On 3 October the accountant filters families with dues and sends template 1. Each message carries that family’s exact amount: one includes a sibling discount, another adds transport, a third is the second of four instalments. Parents tap the link and pay by UPI or card. On the due date, the accountant sends template 3 only to the families still pending, and the dashboard shows collected, overdue and upcoming fees in one view. By the time template 6 is due, the list is short enough for the office to call each family personally.

How Schoolcanvas sends fee reminders

In Schoolcanvas, the fee module already knows each student’s fee structure, concessions, instalments and late fines, so every reminder carries the exact dues with a payment link. Reminders go by WhatsApp, SMS and the parent app, in English, Hindi and your regional language, and they come from the school’s name. Delivery reports show who received each message. Parents pay by UPI, card or net banking through gateways such as Razorpay, Cashfree, CCAvenue and BillDesk, and payments settle straight into the school’s account. Details are on our school fee payment app page, and the messaging side is on the Communication page.

Questions

Common questions.

Fees and finance
How many fee reminders should a school send?

Three to four per fee cycle works for most schools: one a week before, one just before or on the due date, one a few days after, and a final reminder with an offer to talk. Stop as soon as the family pays.

Should fee reminders go on WhatsApp or SMS?

WhatsApp suits reminders with a payment link because parents can tap and pay at once. SMS is a good backup for parents who do not use WhatsApp. Schoolcanvas can send both, along with app notifications.

Can each parent see their exact amount in the reminder?

Yes. Schoolcanvas sends exact fee-due reminders for each student, including concessions, instalments and late fines, with a payment link.

Can reminders go in Hindi or a regional language?

Yes. Schoolcanvas messages can be sent in English, Hindi and your regional language.
