School bus GPS tracking: what parents and transport managers see

Between 7 and 8 every morning, the phone in most school offices rings with the same question: has the bus left, and when will it reach our stop? On a rainy day or a day with a traffic jam on the main road, the calls double. The transport in-charge ends up ringing drivers one by one while parents wait at the gate.

School bus GPS tracking is meant to end that routine. A GPS device in each bus sends its position to the school’s system, parents see the bus on a map in the school app, and the transport office gets a complete picture of the fleet. Here is what each side actually sees, and how to set it up so that it helps.

What parents see in the app

With Schoolcanvas, parents open the school’s mobile app and tap Bus Location. They see their child’s bus moving on the map, with its location updated every 5 seconds. That is frequent enough to judge when to walk to the stop, rather than standing there for twenty minutes “just in case”.

The transport manager’s view is wider. Instead of one bus, they see the whole fleet, and they can look back at what happened, not just what is happening now.

Choosing the GPS hardware

If your buses already have devices fitted, check with us whether they can be connected before buying new ones. If you are fitting new devices, ask your transport adviser which type your state’s rules require for your vehicles.

Stops, routes and transport fees

Tracking is only as good as the route data behind it. In Schoolcanvas, each route has its pickup points, each student is assigned to a stop, and transport fees are linked to routes and pickup points. That way the same record drives the bus list, the attendant’s boarding list and the fee.

One practical point: when a child moves to a different stop mid-year, the school updates the transport fee itself. The system does not change it automatically, so build that step into your stop-change process. A simple rule works well: the transport desk approves the change, then the accounts desk updates the fee the same day.

A weekly routine for the transport in-charge

The data is useful only if someone looks at it. A short weekly review covers most of what matters:

  1. Open the high-speed report for the week and talk to the drivers whose trips appear on it.
  2. Check halt times on each route. Long, unplanned halts usually mean a timing problem or a driver errand.
  3. Replay any route that drew a parent complaint before replying to the parent.
  4. Compare the fuel estimate with actual fuel bills for each bus.
  5. Review bus attendance for children who are regularly marked absent on the bus but present in class, or the other way round.

Setting it up: a short checklist

  • List every route with its stops in order, and the approximate pickup time at each stop.
  • Assign each student to a route and stop. If you are moving from spreadsheets, Schoolcanvas migrates this data free.
  • Connect or fit GPS devices and check each bus shows up on the fleet map.

What tracking does not replace

GPS shows where a bus is. It does not replace a trained driver, an attendant who checks every child off at each stop, or a clear process for when a child is not collected. The best transport offices use tracking to make those people’s jobs easier: fewer phone calls, faster answers, and a record to refer to when something goes wrong.
