Ask any school accountant about the first week of a new term and you will hear the same story. A queue at the fee counter from 8 am, cash and cheques in one drawer, receipts written or printed one by one, and an evening spent matching the day’s total with the bank. Then, a month later, the phone calls to parents who haven’t paid, many of whom aren’t sure how much they owe.

Online fee collection doesn’t mean closing the counter. It means every payment, wherever it is made, lands in one ledger against the right student and the right fee head. Here is how to set it up so it works for parents and for the fee office.

Start with the fee structure, not the payment button

Most problems with online fees come from a fee structure that only lives in someone’s head or an old spreadsheet. Before any parent pays online, the system needs to know exactly what each student owes and why.

  • Fee heads by component: tuition, admission, books, labs, activities, transport and any others your school charges.
  • Class-wise amounts and the instalment plan: monthly, quarterly, termly or annual.
  • Concessions and discounts: sibling discounts, scholarships and any other concessions your school gives.
  • Late fines, with the date they start and how they are calculated.
  • Transport fees linked to the route and pickup point, so they follow the student’s stop.
  • Trusts: if different fee heads go to different trusts, set that up once. In Schoolcanvas, fees under multiple trusts are collected in one click.

Once this is in place, a parent never has to ask what they owe. They see the exact amount, broken down by head, in the app.

Four ways parents can pay

Parents differ. Some will pay by UPI the minute a reminder arrives; others prefer to come to school and pay in person. A good system accepts all of them and records them in the same place.

For online payments, Schoolcanvas is integrated with Razorpay, Cashfree, CCAvenue and BillDesk, with UPI supported, and parents have 45+ payment options in all. Gateway payments settle straight into the school’s own bank account.

Reminders that get paid

A vague “fees are due” message brings phone calls, not payments. What works is a reminder with the student’s exact dues and a payment link, so the parent can pay in a minute. Schoolcanvas sends these through the app, WhatsApp, SMS and email using the same communication tools as every other school message, in English, Hindi or your regional language.

A simple schedule many schools follow:

  1. A week before the due date: a friendly note with the amount and the link.
  2. On the due date: a short reminder to those who haven’t paid.
  3. After the due date: a polite overdue message that mentions the late fine, if any.
  4. After that: a call from the office, now only to the small group who still haven’t paid.

Keep the tone respectful. Families fall behind for many reasons, and a courteous reminder protects the school’s relationship with them.

The daily view for the accounts office

Because every payment is recorded against a student and a fee head, the evening reconciliation becomes a check, not a hunt. The fee dashboard shows what has been collected, what is overdue and what is due next. If you collect at more than one point, for example two campuses or a separate counter for transport, one control panel covers every collection centre.

A short closing routine for the accountant:

  • Compare the day’s collection by mode (cash, cheque, card, online) with the cash in hand and the gateway report.
  • Check the overdue list by class and send reminders to the classes falling behind.
  • Note any concessions or fines waived that day, with who approved them.
  • Push the day’s entries to Tally. Schoolcanvas has complete end-to-end Tally integration, including export, so nobody re-enters receipts in accounts.

At month end, reports such as the balance sheet and profit and loss statement come from the same data. Expenses, budgets and purchases sit in the same school fee management software, with approval workflows for petty cash and larger spends.

Moving from paper or spreadsheets

The fee module is the most widely used part of Schoolcanvas, and for many schools it is the first one they switch on. A sensible order:

  1. Agree the fee structure for the year, including concessions and fines, with management.
  2. Share your student list and current balances. We migrate data from Excel or another ERP free.
  3. Check a sample of students in each class against the old records before you go live.
  4. Train the counter staff first, then tell parents how to pay in the app.
  5. Run the counter and the app side by side for the first term. Most parents move online on their own once they see it works.

With the data ready, a school can be live in 7 days.

What parents notice

For parents, the change is simple: they see what they owe, they pay from their phone, and the receipt is in the app the moment the payment goes through. No trip to school in office hours, no lost receipts. Fee details sit next to attendance, homework and the bus location in the same app, which is covered in our post on the school app for parents. If the school changes a child’s transport stop, the transport fee is updated by the school, so it is worth telling parents to check their dues after any change. More on that in our guide to school bus GPS tracking.
