Moving to a school ERP: a go-live plan your staff can follow
The software is rarely the hard part of a new school ERP. Here is a go-live plan with a data checklist, a day-by-day first week and tips for winning over staff who prefer the register.
On this page
When a school decides to move to an ERP, the worry is rarely the software. It is the office manager who has run fees in the same Excel file for ten years, the teacher who prefers the paper register, and the fear that admissions or fee collection will stop for a week during the switch. A clear plan removes most of that worry. This guide sets out what to prepare, how to split the first week, and how to bring hesitant staff along.
Why a cloud-based school ERP makes the move easier
With a cloud-based school ERP there are no servers to buy and nothing to install on office computers. Staff log in from a browser, and teachers, drivers and parents use the mobile app on Android or iOS. Schoolcanvas runs on a private cloud in a tier-IV data centre in India, with auto-scaling for busy days such as results or fee deadlines, and four-copy backup. The data belongs to the school. That leaves your team free to focus on two things: getting the data right and learning the new way of working.
Step 1: collect the data before day one
Go-live speed depends almost entirely on data. Schoolcanvas promises go-live in 7 days when the school’s data is ready, and migrates your existing records from Excel or another ERP free of charge. The table below is what “ready” usually means.
| Data | What to include | Who gathers it |
|---|---|---|
| Students | Name, class, section, roll number, admission number, date of birth, parent names and mobile numbers, address, siblings | Office manager with class teachers |
| Fees | Fee structure by class and component, concessions, sibling discounts, scholarships, instalments, late-fine rules, pending dues per student | Accountant |
| Staff | Name, role, department, joining date, salary structure, bank details | HR or admin |
| Academics | Subjects per class, timetable, exam pattern, a sample of your report card | Academic head |
| Transport | Vehicles, routes, stops, students per stop, transport fee per route or stop | Transport in-charge |
Parent mobile numbers matter most. They decide whether attendance alerts, fee reminders and circulars reach the right person, so ask class teachers to check them before the list is sent.
Step 2: name one owner and a small team
Pick one person on the school side who owns the project, usually the administrator or vice principal, and give them time for it. Add one champion from each team: the office, accounts, teaching staff and transport. On the Schoolcanvas side you get a dedicated account manager, so there is one person to call on each side.
Step 3: a first week your staff can follow
Here is one way a school like Green Valley Public School could split the work across the first 7 days once its data is in. Adjust the order to your calendar.
- Days 1 and 2: setup and data check. Classes, sections, subjects and staff roles are set up and the data is imported. The office manager and accountant check a sample of students, fee dues and staff records against the old files.
- Day 3: fees. The accounts team collects a few test fees at the counter, prints receipts and checks that concessions and late fines calculate correctly.
- Day 4: office and front desk training. Admissions enquiries, visitor entries, gate passes and certificates. Short sessions, each on the person’s own tasks.
- Day 5: teacher training. Teachers install the app, mark attendance for their own class, post homework and see where marks will be entered later. Twenty minutes is usually enough for the first session.
- Day 6: parents. Send app login details with a short note from the principal. Keep one office number open for parents who need help logging in.
- Day 7: first live day. Attendance is marked in the app, the first circular goes out, and the counter collects fees in the new system. The owner checks in with each champion at the end of the day.
Training can be onsite or offsite. Keep the old files untouched for a few weeks as a reference, but stop entering new data in them from the first live day, so there is only one version of the truth.
Bringing hesitant staff along
Resistance usually comes from a fair place: people are busy and do not want to lose control of work they know well. These steps help.
- Start with what removes work. Teachers mark only absentees and late-comers, and percentages calculate themselves. Marks are entered once and the report card fills in. Lead with these, not with new tasks.
- Train by role, in small groups. The accountant does not need the timetable session, and teachers do not need fee reports.
- Let champions answer first. A colleague down the corridor is easier to ask than a helpline. Champions escalate what they cannot solve.
- Make support easy to reach. Schoolcanvas gives a 5-minute support response during support hours (Monday to Friday 9 am to 6 pm, Saturday 9 am to 4 pm), with email and chat support too. Put the contact details on the staffroom notice board.
- Show results early. After the first week, share one number with staff, such as how many parents opened the app or how quickly the fee counter queue cleared.
The first 30 days after go-live
Hold a 15-minute review every week with the champions. Note what slowed people down and send the list to your account manager. Add modules in stages: once attendance, fees and circulars run smoothly, move on to exams and report cards before the first term exam, then transport, payroll and add-ons as each team is ready. Our ERP for schools overview lists every suite, and the school ERP features list explains what each one does.
When is the best time to switch?
The start of a new session is easiest, because student lists and fee structures are fresh. A switch mid-year also works: bring pending fee dues and the current term’s marks across with the rest of the data, and avoid the week of a fee deadline or an exam.
If you are planning a move, a free demo is a good first step. Bring your fee structure and a sample report card, and we will walk through what your first week would look like. A 1-month free trial is also available for the ERP.
