Every school ERP vendor will tell you their product is the best. The honest answer is that the best school ERP is the one your office staff, teachers and parents actually use every day, and that keeps working when your accountant is on leave and the admission rush is on. This checklist helps a principal, trustee or school owner compare school management software fairly, whichever vendor you choose. Where it helps, we note what Schoolcanvas offers, so you have a reference point.

Start with your own list, not the brochure

Before the first demo, sit with your office manager, accountant, academic head and transport in-charge for half an hour. Ask each of them one question: which task takes the most time or causes the most complaints today? At a school like our example, Green Valley Public School, the answers might be fee reconciliation at month end, report cards in Term 1, and parents calling to ask where the bus is. Those three tasks become the test for every vendor. A long features list matters less than how well a system handles your three.

The checklist: 12 questions to ask any vendor

Data and security

  1. Who owns the data? The answer should be the school, in writing, with a clear way to export it. With Schoolcanvas, the data belongs to the school.
  2. Where is it hosted and how is it backed up? Ask about the data centre, backups and who can see what. Schoolcanvas runs on a private cloud in a tier-IV data centre in India with four-copy backup, and access is role and permission based.
  3. How do you handle the DPDP Act? Ask what the vendor does for consent, access control and data requests. Be wary of anyone claiming official certification, because there is none. Schoolcanvas describes itself as DPDP-ready; details are on the DPDP page.

Moving in

  1. Who moves our existing data, and what does it cost? Student lists, fee dues and staff records usually sit in Excel or an older system. Schoolcanvas migrates this data free, from Excel or another ERP.
  2. How long until we are live? Ask for a date, and what the school must have ready for that date to hold. Schoolcanvas promises go-live in 7 days when the school’s data is ready.
  3. How will staff be trained? Ask whether training is onsite, online or both, and whether teachers get separate sessions from the office team. Schoolcanvas offers onsite or offsite training and a dedicated account manager.

Everyday use

  1. What are the support hours, and how fast is the first response? Get it in writing. Schoolcanvas gives a 5-minute support response during support hours (Monday to Friday 9 am to 6 pm, Saturday 9 am to 4 pm), plus email and chat support.
  2. Does every role get a mobile app? Check the teacher, parent, driver and office views, not only the admin dashboard. At Schoolcanvas every staff member has the mobile app, and parents use it on Android and iOS.
  3. Can it handle our fee structure and our report card? Bring both to the demo. Concessions, sibling discounts, instalments, late fines and fees under more than one trust are where systems differ most. Report cards should match your format, including HPC if you use it in junior grades.
  4. Can parents get messages in their own language? Ask about WhatsApp, SMS, app and voice calls, and whether teacher and parent numbers stay private. Schoolcanvas sends messages in English, Hindi and your regional language, and keeps those numbers hidden from each other.

Connections and growth

  1. Which systems does it connect to? The usual list is your accounting software, biometric devices, payment gateways and government portals. Schoolcanvas connects end to end with Tally, works with biometric devices such as eSSL and BioMax, supports UPI and gateways including Razorpay, Cashfree, CCAvenue and BillDesk, and integrates with UDISE+ and APAAR.
  2. Will it grow with us? Think about a second campus, a hostel, or adding an LMS later. Schoolcanvas has multi-school management, add-on modules, and Assist, an AI-powered LMS that works with the ERP or on its own.

How to run a demo that tells you something

A good demo is about your school, not the vendor’s sample data. Send your three problem tasks and a copy of your fee structure ahead of time. Invite the people who will use the system, not only management. Then score each vendor on the same sheet.

Test during the demoWhat to look forScore (1 to 5)

Use the free trial properly

A trial only helps if real people use it on real work. Schoolcanvas offers a 1-month free trial for both the ERP and Assist. To get the most out of any trial:

  • Choose one or two classes and one office process, such as fee collection for those classes.
  • Name one owner on your side who checks progress every week.
  • Ask a few parents to install the app and tell you honestly what they think.
  • Call support at least twice, once with a simple question and once with a hard one, and note how long the first response takes.
  • At the end, compare the time spent on your three problem tasks before and after.

What affects the quote

Most school ERP vendors, Schoolcanvas included, do not publish prices, because the right setup differs from school to school. When you ask for quotes, make sure each one covers the same scope so you compare like with like. Common things that change a quote are the number of students and campuses, which suites and add-ons you need, a school-branded app, and third-party services such as SMS, WhatsApp, voice calls and GPS devices. Ask each vendor to list what is included and what is billed separately, including training, data migration and support.

Questions to ask other schools

Ask each vendor for two or three schools of a similar size that you can call. Ask the principal or office manager how long go-live really took, how quickly support answers on a busy fee day, and whether teachers still use the app at the end of the year. You learn more from one honest phone call than from any brochure.

If Schoolcanvas is on your shortlist, book a free demo with your fee structure and report card in hand, and we will set them up while you watch. You can also start with the full list of suites in our ERP for schools, or see how the whole school management software fits together.

Questions

Common questions.

School ERP
What is the most important thing to check in a school ERP?

How well it handles the few tasks that take your staff the most time today, usually fees, attendance and report cards. Test those with your own data during the demo and the trial.

Should we choose a cloud-based school ERP?

For most schools, yes: there are no servers to maintain, and staff and parents can use it from their phones. Ask where the data is hosted and how it is backed up. Schoolcanvas runs on a private cloud in a tier-IV data centre in India with four-copy backup.

Who owns the data if we change vendors later?

Check this in the contract. With Schoolcanvas, the data belongs to the school.

Is there a free trial?

Schoolcanvas offers a 1-month free trial for both the ERP and Assist, after a free demo of about 45 minutes.
