School payroll and staff attendance in one system

Month-end payroll in many schools still means printing the biometric log and checking leave by hand. Here is how attendance, leave and salary work when they share one system.

In many schools, the last week of the month follows a familiar routine. The accounts clerk exports the biometric log, prints it, and sits with the leave register and a calculator. Someone notices that a teacher's half-day was never entered. A driver's overtime is in a separate notebook. The salary sheet goes to the principal, comes back with corrections, and payslips are printed and handed out by hand.

Each step works, but the same information passes through four or five hands, and every hand is a chance for a mistake. School payroll software that is connected to staff attendance removes most of those steps. This post explains how that works in Schoolcanvas, from the biometric device to the payslip.

Start at the door: biometric staff attendance

Staff attendance starts with the biometric device. Schoolcanvas works with a wide range of devices, particularly eSSL and BioMax, so most schools can keep the machines they already have. Punches sync in real time, and the HR office can monitor attendance remotely.

Because attendance is live, the office knows by the first period who has not come in. That matters for more than payroll.

Absences reach the timetable, not just the salary sheet

The timetable in Schoolcanvas is linked to staff attendance. When a teacher is absent, the substitution screen suggests a teacher of the same subject and shows the list of free teachers for that period. The vice principal arranges the day's substitutions in minutes instead of walking the staff room with a register.

At Green Valley Public School, our fictional example, the Velachery campus used to fill substitutions by phone each morning. Now the absence shows up as soon as the punch is missing, and the substitution list is ready before assembly. You can read more about timetables in the Academics & Examination suite.

Leave calculated from the attendance data

Leave is where manual payroll usually goes wrong. In Schoolcanvas, leave is calculated automatically from the biometric data, and staff apply for leave in the app. The leave balance, the attendance record and the salary calculation all use the same numbers, so there is nothing to cross-check at month end.

Every staff member has the Schoolcanvas mobile app, not only teachers. Wardens, drivers, attendants and office staff can apply for leave and, once published, see their payslips.

Payroll set up the way your school pays

Schools pay staff in many different ways: different scales for teaching and non-teaching staff, allowances for transport or hostel duty, deductions for loans or advances. Payroll in Schoolcanvas is configurable:

  • Salary slabs and increments for each staff category.
  • Allowances and deductions that the school defines, not a fixed list.
  • Loans and advances recorded against each staff member.
  • Statutory compliance: PF, ESI and TDS handled, with annual filings and statutory reports.
  • Salary disbursement, linked to accounts, with end-to-end Tally integration.

A month-end payroll run, step by step

Here is what the month end looks like when attendance and payroll share one system:

  1. Attendance closes. Biometric punches and approved leave for the month are already in the system.
  2. Payroll is calculated. Salaries are worked out from the slabs, allowances, deductions, leave, loans and advances.
  3. HR reviews. The HR office checks exceptions, such as new joiners or staff on long leave.
  4. The HR admin approves. Nothing is processed until the school's HR admin approves the payroll.
  5. Salaries are disbursed and the entries reach the accounts.
  6. Payslips are published. Staff see their payslips in their own login once the school publishes them.

What changes for each person

  • Accounts clerk: no more printing biometric logs or recalculating leave by hand; the month-end work becomes checking, not copying.
  • HR admin: reviews the exceptions and approves payroll in the system, with a clear record of what was approved.
  • Principal and vice principal: see absences early in the day and arrange substitutions before the first period.
  • Staff: apply for leave and see payslips in their own app, without visiting the office.

Beyond payroll: the rest of HR

Once staff records live in one place, the rest of HR becomes easier too. Our school payroll software also covers:

  • Staff information: one record per staff member, from joining onwards.
  • Recruitment: job openings, configurable hiring stages, evaluation questions and selection status, with open vacancies on the dashboard.
  • Appraisal: configurable schedules, tools and categories, with overall and category-wise reports. Classroom observations through the Classroom Observation Tool (COT) can feed into teacher appraisal.
  • Staff gate pass: a record of staff who leave during the day.

What to check before you switch

If you are moving payroll from spreadsheets or an older system, a short checklist helps:

  • List your biometric device makes and models, and how many campuses they cover.
  • Write down every allowance and deduction you use today, including the unusual ones.
  • Collect current salary details, leave balances and any outstanding loans or advances.
  • Decide who approves payroll, and who can see salary data. Access is set by role and permission.
  • Pick a month to run old and new payroll side by side, and compare the totals.

Data migration from Excel or another ERP is free, and a school can go live in 7 days when its data is ready. Training for the HR and accounts team can be onsite or online.
