Admission season usually starts long before the forms do. A father calls in November to ask about Class 1 seats. A mother walks in on a Saturday and leaves her number with the security guard. Someone fills in the enquiry form on the website at midnight. By January, these enquiries are spread across a register, a few phones and an email inbox, and nobody is sure who was called back.

An online admission form is the visible part of the answer. The bigger change is what happens around it: every enquiry in one list, a follow-up for each one, and a clean path from enquiry to confirmed seat. Here is how that path works in practice, stage by stage.

Stage 1: capture every enquiry in one place

Enquiries arrive through many doors: phone calls, walk-ins, the school website and, for groups, several branches at once. In Schoolcanvas, enquiries from all offices and branches are tracked centrally, and the website admission form feeds straight into the same list. An admission bot on the school website can also answer common questions and capture the parent’s details outside office hours.

For each enquiry, record at least:

  • The child’s name, date of birth and the class applied for
  • The parent’s name and mobile number
  • How they heard about the school
  • The next follow-up date, and who is responsible for it

This is the single most useful habit in admissions. An enquiry without a follow-up date is an enquiry you will probably lose.

Stage 2: follow up on time

Parents usually look at more than one school, and the school that replies clearly and promptly makes a good first impression. Follow-ups in Schoolcanvas go out by notification, SMS and WhatsApp, and the admissions team can see which enquiries are due today and which are overdue.

Useful follow-up points in a typical season:

  1. A thank-you message the same day, with a link to the online admission form.
  2. A reminder before the form deadline.
  3. An invitation to a campus visit or an admission meeting.
  4. A message once seats in a class are nearly full. Class-wise seat availability is visible to the team, so this is based on real numbers.

Stage 3: the online admission form

A good online form is short enough to finish on a phone and complete enough that the office doesn’t have to call the parent for missing details. Schoolcanvas supports end-to-end online admission:

StepWhat the parent doesWhat the school gets
FormFills in the child’s and parents’ details on the school websiteA complete application linked to the original enquiry
DocumentsUploads the birth certificate, photos, previous report card and other documents you ask forDocuments stored with the application, no photocopies to file
Registration feePays onlineThe payment recorded against the application

Tips for the form itself: ask only for what you need at this stage, explain document requirements before the parent starts, and make sure it works on a phone, since that is where most parents will fill it in.

Stage 4: tests, interviews and meetings

Different classes need different steps. For pre-primary, it may be an interaction with the child and a meeting with the parents. For higher classes, an entrance test. Schoolcanvas handles entrance exam management, sends e-call letters for the admission test, and lets the school issue tokens and schedule interviews and admission meetings.

On test or interview day, tokens keep the waiting area orderly, and appointment management makes sure no two families are booked with the principal at the same time. Visitors are logged at the gate as usual.

Stage 5: confirm the seat without retyping

This is where many schools lose hours. Once a family accepts the offer and pays, the office often types all the details again into the student register, the fee system and the transport list. In Schoolcanvas, a confirmed admission converts the lead into a student with no retyping. The child’s profile, parent details and documents move across, ready for the class teacher, the fee office and the transport desk.

From that point the student is part of the student management system, and the fee office can see them straight away. If you are setting up fees for the new session at the same time, our guide to online fee collection covers the fee side.

Stage 6: learn from the season

When admissions close, look back before you forget. Schoolcanvas includes geo-tagged conversion analysis, so you can see which areas your enquiries and admissions came from. Questions worth asking:

  • Which areas sent the most enquiries, and which converted best?
  • If you recorded how each family heard about you, which sources led to confirmed admissions?
  • Where did families drop out: after the enquiry, after the form, or after the interview?
  • Which classes filled first, and which still have seats?

The answers tell you where to spend next year’s admission effort, and which steps in your process to simplify.

A quick checklist before the season opens

  • Seats available per class, entered in the system
  • The online form live on the school website and tested on a phone
  • Document list and registration fee agreed
  • Follow-up message templates written in a warm, simple tone
  • Test and interview dates fixed, and slots set up
  • One person responsible for overdue follow-ups each day

Admissions and the front office sit together in the Schoolcanvas school admission software, along with visitor management, gate passes and courier records. Questions

Common questions.

Admissions
Can parents complete the whole admission online?

Yes. Schoolcanvas supports end-to-end online admission: the form on the school website, document upload and the online registration fee.

Can we track enquiries from several branches together?

Yes. Enquiries from all offices and branches are tracked centrally, with follow-ups by notification, SMS and WhatsApp.

Does the system handle entrance tests and interviews?

Yes. It manages entrance exams, sends e-call letters for the admission test, issues tokens and schedules interviews and admission meetings.

Do we have to re-enter details when the admission is confirmed?

No. A confirmed admission converts the lead into a student with no retyping, so the profile, parent details and documents carry over.
