Teacher app, biometric device or RFID card: three ways to take student attendance, what each costs your staff in time, and how to choose for your campus.

Attendance is the first task of every school day and the one that touches the most people. The class teacher marks it, the office compiles it, the principal checks it, and parents want to know at once if their child did not arrive. A paper register does the first job but none of the others. There are three common ways to take attendance digitally: a teacher app, biometric devices and RFID cards. Each suits a different kind of school.

Option 1: the teacher app

For most schools this is the right place to start. The routine at a school like our example, Green Valley Public School, looks like this:

  1. In the first period, the class teacher opens the teacher app and selects the class.
  2. Everyone is shown as present. She taps only the students who are absent and those who came late.
  3. She submits. The record is saved, and parents of absent children get an alert on their phone.
  4. Monthly and yearly percentages calculate themselves, and the office sees the whole school without collecting registers.

Because the teacher marks only exceptions, a class of 40 with two absentees takes two taps. There is no hardware to buy or maintain, and the teacher can see who is actually in the room. For nursery and primary classes, where young children cannot be expected to scan or carry a card reliably, teacher marking is usually the best fit.

Option 2: biometric devices

A biometric device at the entrance records each student as they arrive. It takes the task away from teachers and is hard to fake, which is why some schools prefer it for senior classes. Points to think about:

  • Queues. Plan enough devices for the busiest ten minutes of the morning, or stagger entry by class.
  • Arrival is not attendance. A student scanned at the gate may still miss a class. Many schools combine a gate scan with the teacher’s check in the first period.
  • Consent and privacy. Fingerprints and face data are personal data. Explain to parents what is collected and why, take their consent, and limit who can see it. Our DPDP page covers what the student data rules mean for schools.

Option 3: RFID cards

With RFID, each student carries a card, often built into the ID card, and taps it on a reader at the gate. Taps are quick, so it suits a large campus where hundreds of students arrive within a few minutes. The trade-off is that a card can be forgotten, lost or handed to a friend, so schools using RFID usually keep the teacher’s check in class as well.

How to choose

  • Start with the teacher app if you are moving from a paper register. It is quick to roll out and needs no hardware.
  • Add biometric or RFID for senior classes or a large campus once the teacher routine runs smoothly, and only where it saves real time.
  • Keep one record. Whichever method you use, the attendance should land in the same student record that parents, the office and report cards use.

Don’t forget the bus

For schools with transport, the day starts before the gate. In Schoolcanvas, the driver, conductor or attendant marks bus attendance in their own app, and parents get bus notifications. Making attendance useful, not just recorded

  • Fix a deadline, such as attendance submitted by the end of the first period, so absence alerts reach parents early in the day.
  • Agree on a late-comer rule and mark late arrivals separately from absences.
  • Follow up long absences. A child absent three days in a row without a leave note deserves a call from the class teacher.
  • Read the reports monthly. Class-wise and whole-school reports show patterns, such as a section with low attendance after holidays or before exams.
